Zoho WorkDrive Integration for Zoho CRM connects your Zoho CRM records with Zoho WorkDrive and automatically creates an organized WorkDrive folder for each supported CRM record.
Once the extension is installed and authorized, you can manage documents associated with Leads, Contacts, Accounts, and Deals through dedicated WorkDrive folders.
The extension automatically creates the required folder, stores its information in the CRM record, and provides a direct link to access the folder.

How Does the Extension Work?
The extension automatically connects your CRM records with WorkDrive.
The workflow is:
Install → Authorize WorkDrive → Create CRM Record → Folder Automatically Created → CRM Updated → Access Folder
For example, when you create a Lead named John Smith, the extension automatically creates:
Zoho CRM - WorkDrive

└── John Smith
The CRM Lead record is then updated with the corresponding WorkDrive folder information.

Getting Started
Step 1: Install the Extension
The administrator installs Zoho WorkDrive Integration for Zoho CRM from Zoho Marketplace.
Step 2: Authorize Zoho WorkDrive
During setup, the administrator authorizes the extension to access Zoho WorkDrive.
This authorization allows the extension to create and manage the required folders.
Note: End users generally do not need to perform the authorization themselves if the extension has already been configured by the administrator.
Step 3: Create a CRM Record
Create a new record in one of the supported modules.
For example:
Leads → Create Lead
Enter the required information and save the record.
Step 4: WorkDrive Folder Is Created Automatically
After the CRM record is created, the extension automatically creates a folder in the corresponding WorkDrive module folder.
For example:
Leads └── John Smith
No manual folder creation is required.
WorkDrive Folder Organization
The extension maintains a structured folder hierarchy in Zoho WorkDrive.

Accessing a WorkDrive Folder from CRM
You can access a record's WorkDrive folder directly from its CRM record.
Step 1
Open the Lead, Contact, Account, or Deal.
Step 2
Locate the WorkDrive Folder URL field.
Step 3
Click the URL.
The corresponding folder will open directly in Zoho WorkDrive.
You do not need to search for the folder manually.
WorkDrive Folder ID
The extension also stores a WorkDrive Folder ID on the CRM record.
The Folder ID uniquely identifies the corresponding WorkDrive folder.
For example:
WorkDrive Folder ID 01an19e7be264b0e482bba09f0296f3ffe1
This field is primarily used by the integration to maintain the relationship between the CRM record and its WorkDrive folder.
Important
Users should not manually edit the WorkDrive Folder ID.
WorkDrive Folder URL
The WorkDrive Folder URL provides direct access to the corresponding folder.
For example:
WorkDrive Folder URL https://workdrive.zoho.com/...
Clicking this URL opens the folder associated with the CRM record.
Managing Documents
After opening the WorkDrive folder, you can use Zoho WorkDrive's standard document management features based on your permissions.
You can typically:
- Upload files
- Create folders
- Organize documents
- Download files
- Share documents
- Collaborate with team members
- Rename files
- Manage document versions
Your available options depend on your Zoho WorkDrive permissions.
Example: Lead
Suppose you create a Lead:

The extension automatically creates:

WorkDrive Folder ID: Automatically generated
WorkDrive Folder URL: Direct link to the John Smith folder
Click the URL to open the folder.
You can then store all documents related to John Smith inside the WorkDrive folder.

Troubleshooting
Folder Was Not Created
If a folder was not automatically created:

- Check that the extension is active.
- Ask your administrator to verify WorkDrive authorization.
- Verify that the WorkDrive integration is configured correctly.
Folder URL Is Not Available
If the WorkDrive Folder URL is blank:
- Refresh the CRM record.
- Check whether the record was created in a supported module.
- Contact your administrator if the URL remains unavailable.
WorkDrive Folder Cannot Be Opened
If the URL opens but you cannot access the folder:
- Verify that you are logged into the correct Zoho account.
- Check your WorkDrive permissions.
- Contact your administrator if you believe you should have access.
Folder Name Is Different From the CRM Record
The WorkDrive folder is created using the CRM record name when the folder is created.
If the CRM record name is changed later, the corresponding WorkDrive folder name may not automatically change.

Keep CRM Record Names Clear
Since record names are used when creating WorkDrive folders, use meaningful names.
For example:
Recommended:

rather than:
Company 123
Keep Documents Organized
Use subfolders inside the record folder when necessary.

Use the WorkDrive URL
Access the folder through the WorkDrive Folder URL in CRM rather than searching for it manually in WorkDrive.
Don't Modify System Fields
Avoid manually changing:
