User Guide
1. Introduction
Zoho WorkDrive Integration for Zoho CRM makes it easy to manage documents associated with your CRM records by automatically connecting Zoho CRM with Zoho WorkDrive.
Once the extension is installed and authorized, a dedicated WorkDrive folder is automatically created for every new Lead, Contact, Account, or Deal created in Zoho CRM.
The corresponding WorkDrive folder is then linked to the CRM record, allowing you to access the folder directly from Zoho CRM.
You no longer need to manually create folders in WorkDrive or copy and paste folder links into CRM.
2. Key Benefits
Automatic Folder Creation
A WorkDrive folder is automatically created whenever a new supported CRM record is created.
Organized Document Management
Folders are automatically organized by CRM module, making it easier to find documents.
Direct Access from CRM
Open the corresponding WorkDrive folder directly from the CRM record by clicking the WorkDrive Folder URL.
No Manual Folder Management
There is no need to manually create, name, or link folders for every CRM record.
Centralized Documents
Keep your customer and business documents organized in WorkDrive while managing customer information in CRM.
3. Supported CRM Modules
The extension currently supports:
- Leads
- Contacts
- Accounts
- Deals
Your administrator must install and configure the extension before you can use this functionality.
4. How It Works
The extension works automatically in the background.
The basic workflow is:
Create CRM Record → WorkDrive Folder Created → Folder Information Added to CRM → Access Folder from CRM
For example, if you create a Lead named John Smith, the extension automatically creates:
Zoho CRM - WorkDrive
└── Leads
└── John Smith
The CRM record will then contain the corresponding WorkDrive folder information.
5. Creating a New Record
Create a new Lead, Contact, Account, or Deal as you normally would in Zoho CRM.
For example:
Module: Leads
Lead Name: John Smith
Complete the required CRM fields and click Save.
Once the record is created, the extension automatically creates the corresponding folder in Zoho WorkDrive.
6. Automatic WorkDrive Folder Creation
You do not need to perform any additional action after creating the CRM record.
The extension automatically:
- Identifies the newly created CRM record.
- Identifies the corresponding CRM module.
- Locates the module's WorkDrive folder.
- Creates a new folder using the CRM record name.
- Retrieves the WorkDrive folder information.
- Updates the CRM record with the folder details.
Example
If you create:
Account: ABC Corporation
The extension creates:
Accounts └── ABC Corporation
inside Zoho WorkDrive.
7. Accessing the WorkDrive Folder from CRM
Once the folder has been created, you can access it directly from the CRM record.
Step 1
Open the relevant CRM record.
For example:
Leads → John Smith
Step 2
Locate the WorkDrive Folder URL field.
The field contains a clickable URL.
Step 3
Click the URL.
Zoho WorkDrive will open the folder associated with that CRM record.
You will be taken directly to the relevant folder instead of having to search for it manually in WorkDrive.
8. WorkDrive Folder ID
The extension also stores a WorkDrive Folder ID in the CRM record.
This is a unique identifier associated with the corresponding WorkDrive folder.
For example:
WorkDrive Folder ID: 01an19e7be264b0e482bba09f0296f3ffe1
This field is primarily used by the integration to identify and maintain the relationship between the CRM record and its WorkDrive folder.
Important
Users generally do not need to modify the WorkDrive Folder ID manually.
9. WorkDrive Folder URL
The WorkDrive Folder URL provides direct access to the corresponding WorkDrive folder.
For example:
WorkDrive Folder URL: https://workdrive.zoho.com/...
Simply click the URL to open the folder.
This makes it easy to move between CRM and WorkDrive without manually searching for the corresponding record folder.
10. Organizing Documents
Once you open the WorkDrive folder associated with a CRM record, you can use Zoho WorkDrive's standard functionality to manage your documents.
You can organize files according to your organization's requirements.
For example, an Account folder could contain:
ABC Corporation │ ├── Contracts ├── Proposals ├── Invoices ├── Reports └── Other Documents
This allows all documents related to a CRM record to remain organized in one location.
11. Module-Based Folder Organization
The extension keeps CRM records organized according to their modules.
A typical structure looks like:
Zoho CRM - WorkDrive
│
├── Leads
│ ├── John Smith
│ ├── Michael Brown
│ └── ABC Lead
│
├── Contacts
│ ├── Sarah Johnson
│ └── David Wilson
│
├── Accounts
│ ├── ABC Corporation
│ └── XYZ Limited
│
└── Deals
├── Website Development
└── CRM Implementation
This structure makes it easy to locate documents based on the type of CRM record.
12. Working with Files
After opening the corresponding WorkDrive folder, you can use Zoho WorkDrive's standard features to manage files.
Depending on your WorkDrive permissions, you may be able to:
- Upload files
- Create folders
- Download files
- Share files
- Collaborate with team members
- Organize documents
- Rename files
- Manage document versions
The availability of these features depends on your Zoho WorkDrive permissions.
13. Example: Lead
Suppose you create a Lead:
Lead Name: John Smith
The extension automatically creates:
Leads └── John Smith
The CRM record will contain:
WorkDrive Folder ID:
Automatically generated ID
WorkDrive Folder URL:
Direct link to the John Smith folder
Clicking the URL opens:
Zoho WorkDrive
└── Leads
└── John Smith
You can then upload and manage all relevant documents inside this folder.
14. Example: Account
Suppose you create an Account:
Account Name: ABC Corporation
The extension creates:
Accounts └── ABC Corporation
The folder is automatically linked to the CRM Account record.
You can access it at any time by clicking the WorkDrive Folder URL.
15. Example: Deal
Suppose you create a Deal:
Deal Name: CRM Implementation Project
The extension creates:
Deals └── CRM Implementation Project
The folder URL is automatically added to the Deal record.
This provides a dedicated location for proposals, contracts, project documents, and other deal-related files.
16. What You Need to Do
Once the extension has been installed and configured by your administrator, your workflow is simple:
1. Create a CRM record
Create a Lead, Contact, Account, or Deal.
2. Wait for the folder to be created
The extension automatically creates the corresponding WorkDrive folder.

Locate the WorkDrive Folder URL.
4. Click the URL
The corresponding WorkDrive folder opens.
5. Manage your documents

17. Best Practices
Use Clear Record Names
The CRM record name is used when creating the corresponding WorkDrive folder.
For example:
Good:
ABC Manufacturing Pvt Ltd
Less descriptive:
Company 123
Clear names make your WorkDrive folders easier to identify.
Use the CRM Link
Whenever possible, access the record's WorkDrive folder through the WorkDrive Folder URL instead of manually searching for it.
Keep Documents Organized
Consider creating subfolders inside record folders for different document categories.
For example:
ABC Corporation ├── Contracts ├── Proposals ├── Invoices └── Reports
Check Your Permissions
If you cannot access a WorkDrive folder, contact your administrator and ask them to verify your WorkDrive permissions.
18. Troubleshooting
WorkDrive Folder URL Is Empty
If the WorkDrive Folder URL has not been populated:
- Refresh the CRM record.
- Check whether the record was created in a supported module.
- Wait briefly for the integration to complete.
- Contact your CRM administrator if the issue persists.
WorkDrive Folder Does Not Exist
Contact your administrator to verify:
- WorkDrive authorization
- Extension status
- WorkDrive folder configuration
