Introduction
The One-Click PDF Export for Zoho CRM extension enables administrators and users to generate fully customizable PDFs from CRM records without using mail merge templates.
The extension supports multiple CRM modules and provides a dynamic PDF builder that allows field selection, layout customization, branding, templates, and automated attachment of PDFs to CRM records.
This Admin Guide explains how to install, configure, manage permissions, and troubleshoot the extension.
1. Prerequisites
Before installing the extension, ensure that:
- You have Administrator privileges in Zoho CRM
- Your CRM organization has access to the following modules:
- Leads
- Contacts
- Deals
- Accounts
- Quotes
- Sales Orders
- Purchase Orders
- Invoices
- Users have permission to:
- View records in supported modules
- Add attachments (for Export & Attach PDF)
2. Installation
1) Go to Zoho Marketplace.
2) Search for One-Click PDF Export for Zoho CRM.
3) Click Install.
4) Select the Zoho CRM organization.
5) Review and accept the required permissions.
6) Complete the installation.
3. Post-Installation Setup
3.1 Button Availability
After installation, a PDF Export button is automatically added to the top-right corner of records in all supported modules.
Admins should verify:
- The button is visible on record detail pages
- Users have access based on their profile permissions
3.2 Module & Field Access
Admins should confirm that users have access to required fields:
- Go to Setup > Security Control > Profiles
- Select a profile
Ensure Read access is enabled for:
- Fields required in PDF generation
- Save changes
4. How the Extension Works (Admin Overview)
- User clicks PDF Export from a CRM record
- User is redirected to the Dynamic PDF Export page
- Extension dynamically fetches:
- Module fields
- Subforms (where applicable)
- User customizes:
- Field selection and order
- Fonts and typography
- Titles and layout
- Logo and branding
- Templates (Quotes module)
- User chooses:
- Export PDF (download)
- Export & Attach PDF (attach to CRM record)
5. Template Management (Quotes Module Only)
- Templates can be created only in the Quotes module
- Templates store:
- Field arrangement
- Branding and logo
- Layout and styling
- Saved templates can be reused for future quotes
Templates do not affect CRM data—only the generated PDF layout.
6. Permissions & Access Control
Admins can control access via Profiles:
1) Go to Setup > Security Control > Profiles
2) Select a profile
3) Verify permissions for:
- Supported modules
- Attachments (for Export & Attach PDF)
- Save changes
Best Practice:
Grant attachment permissions only to users who require PDF attachment functionality.
7. Security & Data Handling
- The extension accesses only CRM data required to generate PDFs
- No CRM data is stored outside Zoho CRM
- All processing occurs within Zoho’s environment
- The extension follows Zoho Marketplace security guidelines

9. Uninstallation
To uninstall the extension:
1) Go to Setup > Marketplace > All Extensions > Installed Extensions
2)Locate One-Click PDF Export for Zoho CRM
3) Click Uninstall
4) Confirm the action
Note: Uninstalling the extension does not delete CRM records or attachments.
10. Best Practices for Admins
